TO: Honorable Mayor and City Councilmembers

SUBJECT: Council Chambers A V System
On Monday January Sth, 2007 a meeting was conducted in the Council Chambers to review the
current A V system, and discuss some of the recent problems that have taken place with the
system, Those in attendance included Facilities Maintenance Manager Kurt Stoudt, Dave
Baudoin and Paul Auren from the local cable access corporation and me,
The City Council meeting on December ISth resulted in one of the more significant problems, as
both the sound and picture quality were poor. Since that meeting, Kurt Stoudt has conducted
several discussions with Alpha Video, which we believe have resulted in changes that will
eliminate the picture quality problem, Early indications from Dave Baudoin, who watched the
City Council meeting on January 2, 2007 suggest the changes resulted in a quality picture, The
sound problem on December ISth, 2006 was admittedly an operator error, and steps will be taken
to assure such errors do not take place in the future,
Another conclusion reached during our meeting should be noticeable as you arrive at the meeting
on Tuesday, The City Council and the rest of us who sit at the table will be asked to turn "on"
and "off' your microphone when you choose to speak, and upon conclUSIOn, While this may
seem cumbersome at first, some of the past problems we believe are caused by the sound created
due to the movement of paper at the table, Furthermore, all of us who sit at the City Council table
are asked to speak more directly into the microphone, and by going through the action of turning
the microphone "on" and "off' we believe that will tend to force us to lean into the microphone
better, thus increasing the sound quality that not only goes over the CATV, but also in the
Council Chambers,
I have also talked with Mayor Hicks about the need for better direction of "traffic" at the dais, as
there are times Staff and the public are discussing items, and neither are speaking into the
microphone, and thus no is then heard,
Special thanks to all for your understanding and patience with this system, and the need for all of
us, including CATV staff to make every effort to assure a quality sound and picture quality for
those in a ndance at the Ci Council meetings, and those watching at home, Should you have
